Youth Accounts
Here’s what to do and how to get started:
- Update Info – please confirm all of the info on this page. I imported from the church’s database and some was entered manually – data entry is not my gift, I make errors. Some info is obviously not relevant (personal instrument, etc.) so don’t worry about that.
- E-mail – you may want to confirm that your e-mail is linked with your child’s account so that you receive statements. You can add multiple e-mails by separating them with a semi-colon.
- Primary Group should be Gallery
- Other groups should be their “Class of 20xx” and “High School” or “Middle School” (and some will have “Confirmation”); please e-mail me any corrections that need to be made.
- When you update information in this account, it will only update in Charms; if you find errors or need to update your primary information, please let me or the office know, so that we update the primary database as well.
- Cell Carrier – this enables group texting from the Charms site.
- Add adult – you can add parent information here
- Change password – (at the top of the page, on the left) this is optional
- Multiple Students – you can link your kids’ accounts [School Code: LeesburgUMD]
- This screen allows you to create a quick link to log in to Charms as another Student in another Charms account such as a sibling, cousin, or even the same Student in a different Charms account.
- For security and privacy, the Student you wish to link to must have already changed their ID number to a password.
- This Student will also be linked to the other Student
- Finances – this is the main reason we are using this system.
- Most of our youth used all of their fundraiser credits for SPY, so will have zero balances.
- Middle School Retreat balances should show up (I have not manually entered check or Fellowship One payments yet)
- The payment portal is not quite ready yet, hopefully by the end of the week.
- Through “Finances” you will be able to see everything you have RSVP’d for, even if that trip/event is free (note: there is a delay on this feature)
- Calendar -
- you can create the public calendar as a favorite on your browser: https://www.charmsoffice.com/charms/calendar.asp?s=leburum (you can also access it through the website: www.leesburgumc.org/yc)
- RSVP – on the calendar there are little RSVP icons, this is the new way to sign-up for things. It’s very simple, you will just enter your child’s name. It would be easier on my end, if you would please enter each person separately, rather than submitting one RSVP and choosing “3” under number attending. The RSVP icon is for youth who will be attending.
- Volunteer icon – please use this icon for parent chaperones. The system will trach RSVP’s differently than volunteers.
- Generally speaking, RSVP = youth and Volunteer = Adult
- IMPORTANT NOTE: once you RSVP for an event, you are committed and expected to pay any expenses related, regardless of whether a deposit has been made. Each event will have a cancellation deadline with refund information; if you miss the cancellation deadlines, you will be responsible for full payment. Deadlines are generally set by third party organizations; once the church makes a payment, we cannot get refunded.
- Tracking volunteer hours
Youth can manually track volunteer hours to keep all service hours in one location, not just church related (I highly recommend this for freshman & sophomores especially who plan on joining NHS). This feature is a convenient personal log for you and is unrelated to the points made above regarding RSVP’s and volunteers.
- Forms collected – this is a work in progress. I hope by the end of the week to have it updated and you’ll be able to see if you’ve turned in forms (annual medical release, specific trip forms, etc.)
- Handouts & Files – I plan to keep Confirmation lessons in here; Gallery orders of worship, youth group lessons, etc. Another work in progress.
